About e-Resources


What is e-Resources?

e-Resources is an open repository maintained by Global Digital Central, LLC. It allows members of the thermal-fluids community to upload and share content with the rest of the community.




How is e-Resources organized and managed?


e-Resources is managed by Global Digital Central, LLC.




How do I get started?

The existing content on e-Resources is free to browse and download without an account. Simply navigate to a community or collection to view the materials uploaded by other users.


In order to post content to e-Resources, you must first register an account before you may begin uploading content. Once your account has been created, you only need to log in and navigate to the "Submit an e-Resource" menu to begin the process.




What file formats can I use?

e-Resources accepts files in any format. However, we strongly encourage you to submit files in formats that we fully support. By "supported" we mean we will always ensure the content is readable by migrating the file to new formats in the future if necessary. Though we will always provide access to unsupported formats, we cannot guarantee they will still be useable with the available technology (i.e., obsolete formats with obsolete software/readers).


In general, PDF is the most common--and fully supported--format for documents in e-Resources. We highly recommend that the PDF is created from a word processing document (Microsoft Word, Open Office Writer, etc.) and not scanned as images so that the full text of the work is searchable. PDFs made from image files will work, however, and the information in the metadata will still be fully searchable (the title, author, keywords, abstract, and so forth). As the owner of the submission you have the right to enforce user permissions on your file. This can easily be done by editing the properties of your PDF (you will have the options to prevent copying, pasting, printing, and saving). It is also important that you abide by Thermal-Fluids Central's strict naming conventions. These naming conventions require that you include a title for your pdf in the format "e-Resources | Name Of Your article". To edit the PDF title visit the properties page of the PDF and edit the title details. Note, the PDF title is different from the title that appears in your document.





Copyright & Publishers


What about copyright and publishers?

To archive items in e-Resources, you must have the right to distribute it (own the full copyright) or have the permission from the copyright holder (typically a publisher if you don't own it yourself).





Will I retain copyright when I deposit?

You will retain whatever copyright you currently have--or don't have--with your work. That is, if you have the full copyright, you keep the full copyright; if you've ceded some or all rights to a publisher, the publisher continues to retain those rights.





Do I sign a contract or agreement with e-Resources?

Yes, you will need to agree to a non-exclusive distribution license in the last step of item submission. This allows us to distribute your work online and to migrate it to new formats in the future if necessary.


This agreement pertains only to distribution and format migration; it has nothing to do with copyright. It is also non-exclusive, meaning e-Resources does not concern itself with or try to control how other entities (such as yourself or your publisher) distribute your work.




What's a Creative Commons license?

Creative Commons licenses are web-based agreements whereby you can release some of the rights you are automatically assigned by copyright. If you are the copyright owner, you can specify conditions under which others can copy, distribute, and modify your work provided they give you credit. When you submit an item to e-Resources, you have the option to apply a Creative Commons license that will:


  • Allow or bar commercial uses of your work
  • Allow or bar modifications of your work

Remember: To license a work with Creative Commons, you must be its copyright holder or have express authorization from its copyright holder to do so. On occasion, a publisher will require you to attach a Creative Commons license as part of its policy, but in most cases you will skip the Creative Commons license when archiving a work that has been previously published.




My work contains copyrighted material. Is that a problem?

As with any copying and distribution of copyrighted works, you must have permission to reproduce the copyrighted material that is incorporated within your own work before depositing it in e-Resources. Examples include photographs, charts and graphs, or substantial portions of text. e-Resources administrators are unable to review your work to alert you of potential copyright violations; authors will be held liable for any copyright violations that occur.





Working with e-Resources


How do I covert a word file into a PDF?

You have several options. If you use Microsoft Word 2007 or Open Office Writer, you can save or export your file as a PDF. If you have Adobe Acrobat (the full package, not just Acrobat Reader), you can convert to PDF from earlier versions of Word or other word processing software.

Note: If you plan on submitting a PDF you must ensure that it has minimal security restrictions. Some security restrictions can impede our ability to provide search capabilities on the document. In order to enforce this, we require that the security features "Content Copying", "Page Extraction", and similar features are allowed.




Can I make changes to material I submit?

e-Resources is intended for finished works; do not archive an item you intend to revise, as e-Resources does not support versioning. If you have exceptional reasons for needing to change or exchange an uploaded file, contact an administrator at administrator@thermalfluidscentral.org.




Can I withdraw material I submit?

Under some exceptional circumstances it may be necessary to withdraw items from e-Resources. An example might the discovery of a copyright violation. Such removal may come at the request of the author, or by a legal order.


Since items that are withdrawn may have been cited, e-Resources supplies a "tombstone page" at the original web address when the item is removed, which will include information for citation verification but not the actual item. The metadata will be visible, but not searchable, and is unavailable for metadata harvesting.




What is metadata?

Metadata means "data about data." Librarians and others who work with information, like web developers, use metadata to organize and retrieve information. The old catalogue cards, now largely replaced by electronic records, contain metadata about books to help people find them. Similarly, web pages have metadata hidden in the code that helps search engines know what the page is about.


Metadata in e-Resources works the same way, and you will input some of it yourself when depositing items, including the title, author(s), item type, keywords, and abstract. Though some of these fields are optional, we strongly recommend that you include as much information as possible, including multiple keywords. Solid, comprehensive metadata allows users to search for and find your work in multiple ways.




How can I submit/convert a PowerPoint file?

In order to submit a PowerPoint (.ppt) file you must first convert it to PDF format. You can do this using Microsoft Office->Save As->PDF or XPS. If this option is not avaliable to you then you can download the plugin on Microsoft's site. Otherwise you can use another applications called Open Office Impress (very similar to PowerPoint but free) which has an export as PDF. After converting the PowerPoint to PDF format you are free to upload it through our submission process.
